HubSpot and Xero: Your Step-By-Step Integration Guide

Step 1: Install the Xero Integration in HubSpot
Open HubSpot’s App Marketplace and search for “Xero.” Install the official Xero integration and authenticate by entering your Xero credentials and granting permissions. This setup imports tax rates and supports six currencies (USD, CAD, EUR, GBP, AUD, NZD)
Step 2: Configure Contact Sync
Go to Settings > Integrations > Connected Apps, and select Xero. Click “Sync more data,” choose Contacts for both platforms, and select your preferred sync direction. Set conflict resolution rules and map fields, including optional custom mappings. Use filters to limit which contacts sync.
Step 3: Set Up Product Sync
Within the Sync setup, choose Items (Xero) and Products (HubSpot). Configure bi-directional or uni-directional sync, establish conflict resolution, map fields, and apply filters such as syncing only selected products. Review your settings before saving and activating sync.
Step 4: Configure Invoice Sync
Still under “Sync more data,” choose Invoices for both systems. The integration currently supports bi-directional invoice sync in beta. Configure mapping rules, select conflict resolution, add filters (for instance, only open invoices or those created after the sync began), and save.
Step 5: Monitor and Adjust the Sync
Navigate to the Sync overview tab to view synced records, failed items, and timestamps of the last update. You can sync immediately, edit or disable syncs, or delete them if needed. Maintain accuracy by regularly reviewing sync logs and updating configurations as your business evolves.
